Week one: getting the paperwork right

The first week is mostly administrative, and it's the part most families underestimate. Between the Medicaid application or transfer, the CDPAP enrollment forms, and the caregiver's own paperwork, there's a lot moving at once. Our coordinators front-load this stage on purpose — the faster the paperwork clears, the faster paid hours start.

What actually happens, day by day

  • Days 1–3: Intake call, document collection, and caregiver eligibility check
  • Days 4–10: Nursing assessment scheduled and completed
  • Days 11–18: Care plan drafted, reviewed with the family, and submitted for approval
  • Days 19–25: Payroll setup for the designated caregiver, including tax forms
  • Days 26–30: First shifts logged and first pay cycle confirmed

Where delays usually come from

Most slowdowns aren't Siamo's doing or the family's — they're upstream, at the Medicaid or managed care level. A missing signature on a recertification, a lapsed insurance card, or a fiscal intermediary transfer that hasn't fully processed can each add a week or more. Our coordinators chase these down actively rather than waiting for the family to notice something stalled.

The families who have the smoothest first month aren't the ones with the simplest cases — they're the ones who return our calls the same day. Paperwork moves as fast as the slowest signature.

What to expect by day 30

By the end of the first month, most families have a confirmed weekly hour allocation, a caregiver actively logging shifts, and at least one completed pay cycle. If something on that list hasn't happened yet, that's exactly the kind of thing to flag to your coordinator rather than waiting it out.
